MYOB Invoicing
AeroHaul delivers aviation fuel — Jet A1 and Avgas — to airports and airfields across Australia. Every shift, drivers were completing safety declarations and pre-flight vehicle checks on paper snap forms, logging deliveries on handwritten run sheets, and recording expenses manually. Back at the office, someone had to transfer all of it into a spreadsheet before anything useful could be done with the data.
The process was error-prone, slow to report on, and hard to audit. Operations managers had no live visibility into where trucks were, what had been delivered, or which drivers had completed their safety checks. Invoicing through MYOB was a separate manual step. The entire operation ran on paper — in an industry where compliance and safety documentation isn't optional.
Two products, built in parallel over five months. A web operations dashboard for the back office — managing drivers, trucks, customers, jobs, and reporting in one place. And a tablet app for drivers — replacing every paper form with a fast, structured digital workflow they complete before and during each shift.
The web and tablet systems share the same live database, so the moment a driver marks a delivery complete on their tablet, it updates on the operations dashboard. MYOB invoices are generated automatically when jobs close — no re-entry, no manual reconciliation.

Drivers start every shift by completing a Fit to Drive declaration — four compliance statements confirmed before the engine starts. Then a structured SAFE check walks through Surroundings, Aircraft/Vehicle, Fire Equipment, and Emergency Exits. All responses are logged, timestamped, and synced automatically.
Jobs arrive on the tablet. Drivers see their full run for the day, accept deliveries, log fuel volumes and compartment details on completion, and generate dockets that email to the customer instantly. Expenses are captured on the job — no paperwork to hand in at the end of the shift.

Create and assign jobs to drivers and trucks from the web. Drivers receive jobs on their tablet, update status in real time, and log delivery volumes and docket details on completion.
